Administrative Coordinator

ADMINISTRATIVE COORDINATOR – San Francisco

The Administrative Coordinator will play a critical role in supporting leading-edge research at Balance CBD in San Francisco, CA. This is the home to Balance CBD’s hemp and genetics research, and includes a 10,000 square foot laboratory and office space. It will have a staff of around 15 people including researchers, technicians, and operations support staff. The Administrative Coordinator will report to the General Manager.

Duties & Responsibilities

  • Running the front desk, answering general phone calls, monitoring the security system during regular work houses, receiving deliveries, and greeting visitors
  • Procuring supplies and equipment, working closely with the Greenhouse Manager and research staff; scheduling shipments around research projects
  • Assisting in maintaining a safe work environment that is compliant with FDA regulations and Balance CBD security requirements
  • Assisting with IT/IS requirements for staff such as ordering new or replacement equipment
  • Arranging accommodation and travel for staff and visitors to Balance CBD, staff lunches, and special events
  • Ensuring meeting rooms, kitchens, and communal spaces are tidy and well-stocked
  • Preparing reports, memos, and documents as required
  • Processing incoming and outgoing mail, manually or electronically
  • Maintaining electronic and back up filing systems as well as records management and related procedures
  • Managing calendars, meetings, expenses, and appointments
  • Other administrative or research support duties as required

Skills & Qualifications

  • A minimum of 3 years of experience in an administrative role
  • Certificate or college diploma in administration or another related field is considered an asset
  • Strong technical skills, adept with MS Office; experience with Adobe design software an asset
  • General familiarity with science and technology is considered an asset
  • Excellent social skills; welcoming, attentive, and helpful
  • Proactive, ‘get things done’ attitude; understands and anticipates the needs of research staff; supportive of a team approach
  • Effective communication with team members and external stakeholders
  • Strong organizational skills, ability to prioritize work, attention to detail
  • Ability to track and report on research projects
  • Must meet timelines for third parties, intra-company transfers, and experimental deadlines
  • Excellent English written and verbal communication skills
  • Willing to relocate to the San Francisco if needed
  • Must be legally able to work in the United States
